Position Title:   Administrative Assistant
Location:   Vegreville, Alberta
Reports to:    Pysanka Festival Coordinator
Employment Type:   Part-Time, Seasonal (November to mid-July)

Position Overview:
The Vegreville Cultural Association is seeking an Administrative Assistant to provide essential support in preparation for the Pysanka Festival. The role includes general office duties, event coordination, and helping ensure smooth operations leading up to and during the festival.

 

Key Responsibilities:

• Answer phones, manage emails, and assist with general office tasks.

• Process applications for vendors, camping, and competitions; handle data collection and payments.

• Maintain accurate records, including financial transactions and volunteer information.

• Assist with event promotion, social media posts, and distributing event materials.

• Help prepare passes and volunteer packages, manage inventory, and ensure smooth event logistics.

• Handle cash sales during the festival and reconcile event revenue.

 

Qualifications:

• Proficient in Microsoft Office (Excel, Word, Outlook) and website management.

• Strong organizational and time-management skills.

• Experience with cash handling and customer service.

• Excellent communication skills, both written and verbal.

• Ability to work independently and as part of a team.

 

Working Conditions:

• This position requires attendance at the festival office for phone calls, vendor coordination, and in-person tasks.

• Some flexibility to work remotely (e.g., handling emails, website updates) is possible.

• Occasional evening or weekend work required, especially during the festival.

• Physical tasks, such as distributing materials and managing event inventory, are required.
